Electrical Engineering Graduate Applicant Orientation Day

Arrival

Airports: Charlottesville-Albemarle (CHO), Richmond International (RIC), Reagan National (DCA), Washington-Dulles International (IAD), Baltimore-Washington International (BWI) *DCA, IAD, BWI travelers may arrange to continue to Charlottesville via bus or train (as well as by car).

Because you wil be arriving at various airports at different times, please send Katherine an email including your arrival airport, arrival and departure times. This will help in finalizing hotel reservations and it will assist in the coordination of any carpooling that may be necessary. If you have already made plans to rent a car (and would be willing to take passengers) please let Katherine know; conversely, please let her know if you will need a ride to Charlottesville so arrangements can be made.

Accomodations

Hotel accomodations for Thursday and Friday are being provided by the English Inn in Charlottesville. If you have booked a flight with arrival to the Charlottesville-Albemarle Regional Airport, you may call the hotel at 434-971-9900 to be picked up by the shuttle between the hours 8am and 8pm. Shuttle service from the hotel to the School of Engineering and Applied Science has been arranged for the group; departure is planned for approximately 8:15am on Friday. Confirm shuttle information with the desk at check-in. Check-in and check-out are at 3pm and 12pm respectively. Driving directions to the hotel can be obtained here.

Directions to Charlottesville and UVa

The University of Virginia is located in Charlottesville, Virginia, approximately 120 miles southwest of Washington, DC. Two major highways, Interstate 64 and US 29, intersect close to the University grounds. Ample hourly parking is available in the Visitors' Parking Garage on Emmet Street (bring your ticket to the Orientation for validation), about a block south of the intersection with University Avenue. The parking garage does have parking spaces designated for persons with disabilities.

From I-64, take exit 118B onto the 29/250 Bypass; then take the second exit (250 East Business), making a right at the top of the ramp and then another right roughly a mile later, onto Emmet Street. From US 29, follow the signs to Business 29, which becomes Emmet Street. The Visitors' Parking Garage will be on your left.

To reach US 29 from the Northeast, take I-495 around Washington to I-66 West. From I-66 West, take the exit marked "US 29 South--Gainesville." Travel on US 29 South into Charlottesville where it will turn into Emmet Street. Emmet Street will lead you directly to the University. The Visitors' Parking Garage will be on your left. If you reach the Jefferson Park Avenue traffic light, you have gone too far.

Directions to the Department

The Charles L. Brown Department of Electrical and Computer Engineering is located in wings C and E of Thornton Hall (see number 46 on the map below). Orientation will take place in room C311--when you arrive at Thornton Hall, enter through the main doors, go left and follow the signs.

Meeting the Faculty

In order to get the most out of this experience, we recommend that you visit the people section of our website to become acquained with our faculty and their research. If there are any particular faculty you would like to meet with during your visit, please include their names in your email to Katherine and every effort will be made to include them in your schedule. Additionally, do not hesitate to contact faculty directly regarding research and/or opportunities to work with their groups. Please note, however, that faculty receive many emails from applicants, so you may improve the odds that you will receive a response by mentioning your plans to attend the orientation.

Travel Reimbursement

Please retain original copies of each of the following:

  • Final confirmation page showing ticket purchased
  • Flight itinerary
  • Boarding passes
  • All relevant receipts (gas, car rental, etc.)

In order to be reimbursed you must complete and submit the registration form online.

Following the orientation, you must complete, print, sign and mail the "Pre-Approval of Proposed Trip Estimate" and "Travel Reimbursement Request" forms from the travel workbook along with your receipts (in the envelope provided at orientation) to Gloria Walker.
